Return Policy
At Canada Welding Supply, we want to ensure you get the right gear for the job. If you need to return an item, our support team is here to help. All standard returns must meet the guidelines outlined below to be eligible for a refund or account credit.
Returns in 3 Easy Steps
All eligible standard stock return requests must be made within 30 days of delivery.
1. Request an Authorization (RMA): Log into your account or contact our support team at support@canadaweldingsupply.ca to request a Return Merchandise Authorization (RMA) form. Returns sent back without a valid RMA may not be accepted. Return Authorizations are valid for 30 days from issuance.
2. Re-Pack Your Shipment: Place the unused item back into its original factory packaging along with the RMA form. Do not tape, write on, or attach shipping labels directly to the original manufacturer's product packaging, as this can result in a restocking fee or return refusal.
3. Ship or Drop Off Your Return: Customers are responsible for all return shipping charges. Canada Welding Supply is not liable for items lost, delayed, or damaged during return transit, so we strongly recommend using a trackable shipping method and purchasing shipping insurance. Returns can also be dropped off directly at our Mississauga showroom: 6829 Pacific Circle, Mississauga, ON L5T 1S6.
Final Sale & Non-Returnable Items
The following items are considered final sale and cannot be returned or exchanged unless Canada Welding Supply shipped the wrong product, or the product is verified defective under warranty:
- Cut-to-Order Products: Any products sold by the foot or custom lengths cut from bulk material, including wire, cable, welding cable, hose, and leads.
- Safety & Hygiene Gear: PAPR helmets or systems, respirators, N95 masks, face shields, solar eclipse goggles, and ear protection items (including earbuds, ear muffs, and communication tips).
- Special Orders: Non-stock, custom, configured, fabricated, or supplier-direct drop shipments.
- As-Is Items: Clearance products, discontinued items, open-box items, floor models, and used or demo machines.
- Other Exclusions: Electronic repair parts, gift cards, downloadable products, and service charges such as labor, installation, shipping, freight, duty, or brokerage fees.
Cut-to-Order / By-the-Foot Products
Products sold by the foot or cut from bulk material to a custom length are strictly final sale once the order has been released for processing (unless Canada Welding Supply shipped the wrong item or the product is verified defective under warranty). Canada Welding Supply does not accept returns or issue credits due to customer measurement errors, project changes, over-ordering, under-ordering, duplicate orders, or the product no longer being required.
Measurement Tolerance
Due to normal handling, reel tension, and cutting equipment variation, minor length variations may occur. Canada Welding Supply applies the following standard measurement tolerances:
- Ordered Cut Length Under 25 feet: +/-3 inches
- Ordered Cut Length 25 feet to 100 feet: +/-1%
- Ordered Cut Length Over 100 feet: +/-1% or +/-12 inches, whichever is greater
If you believe your item was received short outside of these tolerances, you must contact us before cutting, installing, using, modifying, or discarding the product or packaging. We may request photos of the continuous remaining length, your measurement method, and packaging labels to verify your claim.
Refund Calculations & Restocking Fees
Refunds are calculated only after the returned product is received, inspected, and approved at our facility. The final refund is based on the quantity and physical condition actually received, not just what was requested on your RMA.
- Original Charges: Original shipping, freight, duty, brokerage, and insurance charges are completely non-refundable. If your order originally qualified for a free shipping promotion and is returned for a reason not caused by Canada Welding Supply error, the original outbound shipping and freight costs incurred by Canada Welding Supply will be deducted from your final refund.
- Heavy, Freight, & Drop-Ship Items: Heavy, oversized, palletized, supplier-direct, long-distance, or freight/LTL returns may be subject to deductions for actual freight, carrier handling, repackaging, restocking, and any supplier pass-through costs incurred by Canada Welding Supply.
Restocking Fees
To cover inspection, handling, repackaging, and manufacturer pass-through charges, restocking fees may be applied based on the condition of the return:
- Unopened, unused, sellable standard stock item: Generally approved with no restocking fee.
- Opened packaging, missing labels, or repackaging required: A restocking fee applies to reflect inspection, handling, repackaging, and resale risk.
- Used, installed, damaged, altered, or incomplete items: Return may be completely denied or significant restocking fees may apply.
- Supplier-direct drop shipment return: Manufacturer pass-through restocking fees and vendor freight or handling charges will be passed through to the customer.
Order Changes & Cancellations
Our goal is to ship eligible in-stock orders within 24 hours or the next business day. Because fulfillment may begin shortly after checkout, cancellation or change requests are not guaranteed once an order is placed.
For the best chance of review, cancellation or change requests should be submitted as soon as possible and, where practical, no later than 2:00 PM Eastern Time on the same business day the order is placed. This is a request guideline only and does not guarantee that an order can be changed or canceled. If the order has already entered processing, the request may be denied. Final sale, special order, or custom cut-to-order items cannot be canceled or returned simply because a cancellation request was submitted too late.
Damaged, Defective, or Incorrect Shipments
If there is an issue with your delivery, please review the appropriate protocol below to ensure your claim is processed successfully:
Large Freight & LTL Shipments (Oversize and Palletized Items)
- You must thoroughly inspect the delivery vehicle packaging both inside and outside before signing the delivery receipt.
- If visible freight damage to a machine or pallet is present, you must refuse the delivery and contact Canada Welding Supply immediately.
- Canada Welding Supply will not replace, issue credit, or accept returns for any damaged machine once it has been signed for and accepted.
- Accepting a freight delivery constitutes full acceptance of the equipment in the condition in which it was received.
Small Package Deliveries (Canada Post, Purolator, UPS, FedEx)
- Inspect your package immediately upon arrival.
- Any missing items, incorrect products, or internal/concealed damage must be reported to Canada Welding Supply within 10 days of receiving your order.
- Please email your order details along with images of your damaged product and shipping packaging to support@canadaweldingsupply.ca.
Product Defects & Repairs
- If your item is defective out of the box, contact us within 10 days.
- Every manufacturer establishes their own unique warranty repair or replacement process.
- Canada Welding Supply will gladly guide you through the warranty process or assist you in finding your local authorized manufacturer service facility.
Refund Timing and Methods
Once your return is physically delivered to our facility, please allow 3–5 business days for our team to complete inspection and process the return.
- Retail Customers: Approved refunds are issued directly back to the original method of payment. Depending on your financial institution, it typically takes up to 2-5 business days for the funds to clear back to your account.
- Business Customers with Credit Term Accounts: Approved returns will be issued as a credit memo directly to your open account balance to offset open or future invoices. Cash or credit card refunds are not issued for accounts operating on corporate credit terms.
